Terms & Conditions

Our Terms and Conditions include important information relating to our cycling tours, bicycle hire, payment for services and your safety.

BIKE HIRE

Your bike hire price includes a bicycle, lock, helmet and repair kit.

UPGRADES & EXTRAS

Upgrades and extras include panniers, handle-bar bags, luggage trailers, tandems, car racks, tagalongs, child seats, child carriers and child trailers. Extras may be provided for free with online bookings, subject to availability.

Booking payment

To reserve your cycling tour, we require a booking payment of €100 per person. Once your payment has been received, we will send you a confirmation. The booking payment is non-refundable.

Final Payment

The final payment date for you tour will depend on your tour start date.

For tours starting in April, the final payment date is 1 March.

For tours starting in May, June, & July, the final payment date is 31 March.

For tours starting in Aug, Sept and October, the final payment date is 30th June.

Cancellations, refunds and transfers

We advise that all our guests purchase travel insurance at the time of booking. Should you be unable to proceed with your tour for any reason you should inform us immediately. Our cancellation and refund policy for all tours is as follows:

  • Booking payments are non-refundable. Cycling tour bookings require a considerable amount of time to arrange including booking hotels/B&Bs, transfer services, preparing tour documents and files, corresponding with guests and also booking ferries, bikes, taxis etc etc and the booking payment covers a part of this work and is therefore non refundable in the event of a cancellation.
  • The final payment is 100% refundable until 30 days before arrival. If you cancel within 30 days, it is non-refundable.

In the unlikely event that we have to cancel your tour for any reason, we will offer offer you a different tour or refund your payment.

  • Guests who fail to sign the terms and conditions will not be allowed to join the trip and the cancellation policy will apply.
  • West Ireland Cycling reserves the right to cancel any trip at any time for any reason.
  • Private Tour packages may be subject to different terms and conditions as outlined in the final proposal.

Bike bookings – Booking payments for bike hire are non-refundable. The final payment for bike hire is refundable until 7 days before the start of the hire period. Cancellations within 7 days of the start of the hire period are non-refundable.

Guided Tours

Guided tours typically have 12 – 16 guests and require a minimum number of participants in order to operate.  If the minimum number of participants required to run a guided tour is not achieved, guests booked on a guided tour will be offered a self guided tour, at a reduced cost instead. A final go/no-go decision will be made 6 weeks before the start date. We endeavour to inform guests as soon as possible in the event the guided tour will not be running as planned. Please be aware, guided trips with insufficient guest numbers may be cancelled due to circumstances outside our control (such as other guests cancelling their spot, thus making the tour impossible) and we respectfully request understanding from guests in the event of cancellations.

GRATUITIES

Gratuities for West Ireland Cycling tour guides are not required but are always appreciated but are entirely at your own discretion.

ACCOMMODATION

Tour prices are per person sharing a room in a B&B/hotel. Single rooms are available on a limited basis at an additional fee. We may not be able to honor private room requests during certain peak periods. Family rooms can be requested for families with 2 adults and 2 children. Family Rooms may not be available at all locations on our tours.

West Ireland Cycling reserves the right to make changes to these terms and conditions at any time.

CHILDREN

Children of any age are welcome on any of our tours if accompanied by a responsible adult (parent / guardian for children under 12).

MEDICAL SERVICES

Medical services or facilities may not be readily available or accessible during all or part of your tour. You are responsible to select a tour appropriate for your abilities and interest. You are responsible for being in sufficient good health to undertake the tour.

PHOTOGRAPHY & VIDEO

West Ireland Cycling reserves the right to take photographic or film records of any of its tours, and to use any such photographic or film records for promotional and/or commercial purposes. If you prefer not to be included in such photographic of film records, please make this clear to staff before starting your tour.

BIKE SECURITY AND BIKE THEFT

The customer to whom the bike is rented is responsible for the security of the bike for the entire period of hire. Hired bikes must be securely locked using an approved West Ireland Cycling lock at all times when the bike is unattended. Bikes must be locked to a secure imoveable object such as a bike rack/lamp post.

Failure to comply with these security conditions will result in the following:

  • The customer to whom the bike is rented is liable for the full replacement cost of the bike as deemed by our shop mechanic.
  • The hire fee and deposit are forfeited when bikes are stolen.
  • West Ireland Cycling is under no obligation to refund amounts paid or provide a replacement rental bike.

RIGHTS AND OBLIGATIONS

THESE CONTAIN IMPORTANT INFORMATION ABOUT YOUR RIGHTS AND OBLIGATIONS, AS WELL AS LIMITATIONS AND EXCLUSIONS THAT MAY APPLY TO YOU.

Participation in a cycling holiday or bike hire is subject to the acceptance by the participants to the following terms and conditions:

West Ireland Cycling will provide all participants with bicycles, helmets & equipment that will be delivered in perfect working condition and these must be returned in the same condition at the end of the tour or hire period.

Participants of the cycling tour or bike hire affirm that they are entirely responsible for their own actions and that any rights to claim for damages against West Ireland Cycling are waived. In particular (but not limited to) clients declare that:

They are able to ride a bike safely;

They are of good health and know of no reason why they should not participate in the tour;

They know the Irish Rules of the Road;

They are able and willing to follow all of the instructions given by staff.

They are not under the influence of alcohol or any other substances which may impair their judgement or coordination.

They understand fully how to use all of the equipment that has been given to them by West Ireland Cycling and agree to use it.

West Ireland Cycling may also request a health certificate if it is deemed necessary.

Participants of the cycling tour or bike hire are required to practice prudence and diligence, particularly in relation to the use of the equipment provided by West Ireland Cycling.

Participants of the cycling tour or bike hire accept that they use the equipment provided by West Ireland Cycling is at their own risk.

Participants of the cycling tour or bike hire have the right to purchase personal insurance to cover potential damage to their person, third parties or equipment.

West Ireland Cycling accept no liability for any damage to the participant, third parties and equipment however caused during tours or bike hire.

West Ireland Cycling do not accept any liability for loss of baggage, money, valuables or any other items during the tour or bike hire.

Participants of the cycling tour or bike hire will be held responsible for any damage to the equipment, in excess of normal wear and tear, provided to them by West Ireland Cycling

Participants of the cycling tour or bike hire will be held liable for all damages that West Ireland Cycling may endure due to the failure of the participant to comply with their obligations.
